The platform automatically bridges your group programs with your client tracking, ensuring everyone in your cohort receives their session invites and links simultaneously.

Before you begin

To get the most out of this workflow, it is important to understand how Delenta connects group sessions to group offers:

  • The Golden Rule: When you create a Group Coaching Package under your Packages settings, Delenta will automatically generate a corresponding group under your CRM's Groups tab.

  • You can also create your own group that's not connected to any Group coaching package.

  • Remember you can invite your cohort members before or after you schedule your group sessions. There is no difference. Group members will receive the session details once they are added to the group.

Step-by-Step Instructions

There are two primary methods to schedule group coaching sessions depending on whether the session belongs to a pre-purchased package or is an ad-hoc, free workshop.

Method 1: Scheduling via the CRM Groups Tab (Package-Linked Sessions)

  1. Navigate to the CRM page from the left-side panel and click on the Groups tab at the top.

  2. Select the group tied to your program

  3. Inside the group's menu, click the Packages tab. Here you will see the full coaching package outline and session counts.

  4. Locate the specific session card (e.g., Session 1) and click Schedule Now.

  5. The Setup Group Coaching Session form will pop up with the correct Group and Package settings pre-selected. Fill out the following:

    • Select Session Type: Keep this on Packaged Session.

    • Session Date & Time: Choose your calendar date and hours.

    • Meeting Location: Select your integrated platform (e.g., Google Meet).

    • Add a Form (Optional): Attach an onboarding or questionnaire intake form if needed.

  6. Scroll down to review the Clients section to ensure all cohort group members are listed.

  7. Click Submit.

Method 2: Scheduling via the Sessions Page (Ad-Hoc / Standalone Sessions)

If you want to run a one-off free session or an ad-hoc masterclass for an unlinked group:

  1. Go to the Sessions page on your left-side panel.

  2. Click the blue + Schedule button in the top right corner and choose Group coaching session.

  3. In the pop-up form, choose your target group under Select Group (It will list out all groups on the drop down menu: Packaged groups and non-packaged groups).

  4. Under Select Session Type, the system will default to Free Session (Non-Package Related) because this group is independent of an automated coaching package offer.

  5. Complete the date, time, and your integrated meeting location.

  6. Click Submit.

How to Check and Start Your Group Sessions

Once you have created your group appointments:

  1. Go to the Sessions page on the left-side menu and choose the Group filter tab at the top.

  2. You will see your session row complete with its package tracking details, duration, and date.

  3. When it is time for your group meeting to begin, click the Start button on the right side of the session row to launch your integrated video conference immediately!

Q: Why does it say "N/A" or "Not Applicable" under "Linked to" when I view a group's details from CRM? A: This simply means the group was created manually as a standalone cohort, rather than being auto-generated by a sales package. Because of this, it can only host "Free Session (Non-Package Related)" events.

Q: I got a "Conflicts Detected" error message when I clicked submit. What does that mean? A: Delenta protects your time! If you try to schedule a group meeting during a time frame where you already have a pre-existing 1-on-1 session or an out-of-office block, this window will pop up. You can either click Choose another time to fix it, or click Add event without conflicts but ignore remote conflicts if you want to force the booking anyway.
