Instead of guessing how your clients are progressing, this feature allows you to gather data through customizable forms, targeted course quizzes and automated AI-driven check-ins.
This guide provides a step-by-step breakdown of how to configure and deploy these tools to optimize your client experience.
1. Creating and Automating Interactive Forms
Forms are excellent for pre-session intake, post-session feedback, or general check-ins. You can build these at an individual coach level or scale them across your entire organization.
Step 1: Design the Form
Navigate to the Engagement Studio and click Create Form.
Choose to either modify a pre-built Template or start from Scratch.
Use the drag-and-drop editor to arrange layout elements, write your custom questions, adjust typography, and apply your specific brand colors.
Toggle the Required switch on critical fields to ensure clients provide essential data before submitting.
Click Preview to verify the client experience, then click Publish.
Step 2: Set Up Smart Automations
You can eliminate manual administrative work by triggering forms to send automatically based on calendar events.
Within your published form settings, go to the Automations tab.
Define your trigger parameters (e.g., set the system to distribute the form exactly one hour after a 1:1 session finishes).
Specify the frequency occurrence (e.g., send only once).
Save your changes to activate the background workflow.
Step 3: Choose Your Sharing Method
Direct Tracking: Share the form via tasks or automations with clients inside their portal. This automatically links their responses to their CRM record.

⚠️ Important Note on Anonymous Links: While public links are perfect for open marketing feedback, responses submitted through an anonymous link will not automatically attach to an individual client's CRM profile.

Step 1: Build the Quiz
In the Engagement Studio, navigate to the Quizzes tab and select Create Quiz.
Input your evaluation questions, choose your answer formats, and preview the layout.
Click Publish to make the quiz asset live in your repository.
Step 2: Embed inside a Course Curriculum
Navigate to your active Course Builder.
Select the specific module or section where you want to test your users' knowledge.
Add a new step, select Quiz as the content type, and pick your newly created quiz from your library dropdown menu.

Step 1: Prepare the Data Foundation
To utilize smart nudges, you must have active transcripts for the system to analyze. Ensure that your AI Notetaker is active, your live sessions are being recorded, and live transcription is turned on during calls.
Step 2: Configure Your Smart Nudge
In the Engagement Studio, go to the Messages tab.
Select or generate a nudge template. Delenta’s AI intelligence will automatically review your recent AI meeting summaries and transcripts to draft contextual check-ins tailored to the actual topics discussed during your live sessions.
Insert dynamic Magic Tags into your message body to automatically populate individualized details like the client's name or upcoming session dates.
Step 3: Schedule and Target the Delivery
Use the launchpad to Preview the final message styling.
Select your precise target audience: you can distribute the nudge to all clients, selected individuals, or everyone enrolled in a specific coaching package.
Schedule the exact date and timing sequence for the notification to deliver.
Step 4: Monitor Delivery via Message Logs
To ensure your communications are firing smoothly, consult the Message Logs dashboard. This log breaks down delivery into four clear operational states:
Sent: The notification successfully delivered to your client's device or messages inbox.
Skipped: The system skipped delivery (e.g., if a client didn't meet the specific AI transcript criteria required for that particular nudge).
Failed: Delivery encountered an error (allowing you to troubleshoot client contact info or backend connection states).
Pending: The message is queued and waiting for its scheduled time slot.
