Overview
The AI Notetaker is designed to eliminate manual admin work during live coaching calls, allowing you to stay 100% present with your clients. This comprehensive guide walks you through integrating your video tools, activating live transcriptions, unpacking advanced conversational analytics (including ICF markers), and managing note privacy permissions within your CRM.
1. Setup & Session Activation
To allow the AI Notetaker to listen, record, and process your sessions, make sure you have allowed AI notetaker access in settings & privacy before you continue.
Next you must link your video conferencing tool and enable your live transcripts.
Step 1: Integrate Your Video Platform
Navigate to your personal dashboard and open your Integrations panel.
Select Integrations and locate your preferred video conferencing provider (e.g., Zoom, Microsoft Teams, or Google Meet).
Connect your account and authorize the necessary system permissions for call recording & note taking in your video conferencing platform.
Step 2: Activate Recording and Live Transcription
When launching an active coaching session, complete these two mandatory configurations to ensure the AI engine captures your meeting data:
Ensure your video platform's Record Meeting utility is actively toggled on.
Enable Live Transcription within your active call interface panel.
Proceed with your coaching call as normal.
đĄ Important Note:
For pre-existing appointments after the Delenta-i update, you'll need to re-integrate your your video conferencing tools to be able to access the AI notetaker feature.
Once the session concludes and the file saves, the Delenta AI engine immediately runs in the background to automatically compile your post-session text assets.
2. Reviewing Summaries, Transcripts, and Action Items
Once processing completes, you can review your interaction data, isolate crucial coaching moments, and turn conversational insights into direct tasks.
Accessing Your Post-Session Assets
Navigate to the Notes tab under Sessions on your dashboard menu.
Select your completed meeting row to open the AI Meeting Summary panel.
Review the complete interactive, searchable transcript timeline alongside the high-level overview recap.
Generating Client Tasks from Transcripts
Scan your summary to identify client breakthroughs or agreed milestones.
Click the Add Task button directly from the summary screen view.
Copy and paste the AI summary to notes and add your touch to it before you share it with the client.
3. Analyzing Advanced Coaching Metrics & ICF Markers
Delenta AI dives deep into conversational mechanics to give you objective, data-driven feedback on your professional delivery standards.
Open your advanced analytics breakdown tab to review your behavioural and conversation structures:
ICF Core Competency Markers: Review your automated competency mapping to evaluate your performance across foundational standards (such as active listening, maintaining coaching presence, and establishing trust).
ICAP & COI Phasing Scores: Measure the deeper thematic shifts and structural progress indices of your conversation over time.
Session Signals: Track critical behavioural indicators and underlying conversational patterns surfaced by the AI.
Speaker Talk Ratio: Audit the visual percentage breakdown showing exactly how much space you held open for your client versus how much time you spent speaking.
4. CRM Integration and Note Privacy Control
Seamlessly migrate your AI summaries into your notes while managing exactly who has permission to read the data.
Add AI summaries to Notes
From your session summary screen, copy the AI Summary and paste it into your Notes under your Client's record.
Click Add Session Note to instantly sync the text block over to your client's active CRM profile folder.
Use the dropdown selectors to tie the new note explicitly to to the exact Scheduled Session timestamp to maintain a spotless historical record and the associated Program or Package.
Manage Note Sharing:
Private: Visible only to you for personal reflection; completely hidden from clients and other team members (for team users).
Shared with Team (for team users): Visible exclusively to your internal staff and organization administrators.
Shared with Client: Pushed directly to your clientâs dashboard to keep them aligned on their commitments.
