How to Enable HIPAA Compliance on Delenta
Overview
For health coaches, wellness practitioners, and coaching organizations working alongside healthcare providers, protecting your clients' Personal Health Information (PHI) is non-negotiable.
Delenta is built with enterprise-grade security and is fully equipped to support HIPAA compliance. Enabling HIPAA compliance on your Delenta account ensures that all your scheduling, client communication, coaching notes, intake forms, and telehealth sessions meet strict data privacy standards.
This article guides you through the process of requesting and activating HIPAA enablement for your coaching practice or multi-coach team portal.
Who this is for
Multi-Coach Health Organizations & Enterprise Teams coordinating care and clinical programs at scale.
Before you begin
🔒 Important Note on the Business Associate Agreement (BAA):
To formally achieve HIPAA compliance on any software platform, a legal document called a Business Associate Agreement (BAA) must be executed between your business and Delenta. Please ensure you have your official business registration details handy before initiating this process.
Step-by-Step Instructions
Step 1: Access Your Security Settings
Log into your Delenta Admin account.
Click on your profile icon in the top right-hand corner of the page.
Select Settings & Privacy from the drop-down menu.
Step 2: Navigate to the Compliance Tab
Inside your settings menu, locate and click on the Security & Compliance tab.
Scroll down to find the HIPAA Compliance section. Here, you will see an overview of the technical safeguards Delenta implements, including encrypted video conferencing, secure messaging, and protected clinical notes.
Step 3: Request HIPAA Enablement
Click the Request HIPAA Enablement button.
A secure form will appear asking for your business details to generate the mandatory Business Associate Agreement (BAA).
Fill out the required fields, including:
Legal Business Name
Authorized Signatory Name
Business Address
Review the terms of the BAA and click Submit Request.
Step 4: Sign the BAA and Activate Enablement
Once submitted, our compliance team will review your details and issue the formal BAA via email (typically powered by a secure e-signature tool).
Review and digitally sign the document.
Once fully signed, Delenta will securely transition your portal infrastructure to our isolated, fully auditable HIPAA-compliant database environment. You will receive a confirmation email, and a green HIPAA Active badge will appear in your settings dashboard.
Helpful Tips
Keep It Internal: Delenta keeps your data securely encrypted at rest and in transit. To maintain absolute compliance, encourage your clients to use their secure Patient/Client Portal for sharing health metrics, journals, or medical documents rather than standard email.
Integration Check: If you utilize third-party integrations (like Zapier or external CRM systems), make sure those specific tools are also configured to handle PHI securely, as third-party endpoints operate outside of Delenta's internal environment.
