As an administrator or team operations manager, the Team Calendar is your central command center. It gives you absolute visibility over your organization’s collective schedule, allowing you to track coach availability, eliminate scheduling conflicts, and manage bookings on behalf of your team.
This step-by-step guide walks you through navigating the team schedule, booking appointments for your roster, and modifying existing calendar events.
1. Navigating and Filtering the Team Schedule
Instead of hunting down individual calendar links, you can view your entire organization's availability from a single screen.
Access the Team View: Navigate to the Team Calendar section from your admin dashboard.
Isolate Specific Coaches: Use the search bar or the coach filter dropdown at the top of the page. You can choose to view the entire master schedule at once or select specific coaches to audit their individual workloads.
2. Booking Appointments on Behalf of Your Team
When clients reach out directly to your operations team, you can schedule appointments for them without waiting for the coach to manually intervene.
Click the Book Appointment button (or click directly on an open time slot within the calendar grid).
Select the Session Type you want to organize:
1:1 Session: For private, individual client appointments.
Group Session: For multi-client workshops, masterclasses, or live cohort events.
Assign the Coach from your team directory who will be hosting the call.
Search for and select the Client (or clients, if booking a group event) who will be attending.
Confirm the date, time, and package alignment, then click Save to push the event live. The system will automatically notify both the coach and the client.
3. Modifying Appointments
Because schedules are always changing, Delenta grants you full administrative privileges to update or cancel events across your entire team roster.
Reschedule or Update: Click on any existing calendar event (1:1 or group) to change the time, date, or assigned details.
Cancel or Delete: Open the event details window and select cancel or delete. The system will automatically adjust the client's remaining session balance based on your global cancellation policies.
