Settings up your Calendar & Availability

Managing your schedule, syncs, and client bookings is simple. Use this guide to set up your integrations, manage your availability, and customize your booking pages.

Step 1: Video Conferencing & Calendar Integrations

Before sharing your booking links, you need to connect your tools so Delenta knows when you are available and where to host your meetings.

Connect Video Conferencing

  1. Locate the video conferencing toggle in your calendar settings.

  2. Switch it On and enter your credentials for your preferred platform (e.g., Zoom, Google Meet).

Integrate Your Calendars

Delenta allows you to connect up to seven (7) calendars simultaneously to prevent double-bookings:

  • Up to 3 Google Calendars

  • Up to 3 Outlook Calendars

  • Up to 1 Apple Calendar

⚠️ Important: Once connected, choose one calendar to be your Primary Calendar (the one where new Delenta bookings will be written). You can also select sub-calendars for Delenta to read and check for conflicts.

Step 2: Configure Calendar Settings & Availability

Once your integrations are live, customize how you interact with incoming booking requests.

  • Booking Approvals: Check the Auto-Accept box if you want the platform to instantly confirm appointments. Leave it unchecked if you prefer to manually review and approve every session request.

  • Reminders: Set up automated meeting reminders for both yourself and your clients.

  • Buffer Times: Add buffer settings to ensure you have a breather between external calendar events and Delenta sessions.

  • Availability Increments: Choose how frequently your time slots appear. For example, setting a 30-minute increment means clients will see slots at 10:00 AM, 10:30 AM, 11:00 AM, etc.

  • Minimum Notice Period: Define the minimum amount of time required before a client can book an appointment (e.g., no bookings less than 24 hours in advance).

Always remember to click Save Settings when you are done!

Step 3: Set Up Availability Plans

You can tailor your availability based on the types of sessions you offer.

Free & Discovery Sessions

Use these for chemistry sessions, initial consultations, or any free appointments.

  1. Click Add an Availability Plan.

  2. Set your preferred days, times, and session lengths.

  3. Choose whether this availability runs Indefinitely or within a Specific Date Range.

  4. Add buffers specifically for these sessions if needed.

Package Sessions

You can also restrict certain availabilities to specific client coaching packages. Simply apply your availability rules directly to the chosen package.

Step 4: Manage Your Booking Landing Pages

Delenta automatically generates scheduling pages for both your free sessions and package sessions. You can share these links directly with clients.

Customizing the Client Experience

  • Reorder Content: Move and adjust the sequence in which your booking pages are displayed to clients.

  • Edit page text: Edit the display language of your landing page to match your audience.

  • Lead Forms: Create and attach a lead form to collect crucial information or questionnaire answers from prospects before they can successfully book a free or discovery session.

Step 5: Direct Calendar Management

You don't have to rely solely on client booking links; you have full manual control over your schedule.

  • Quick Booking:: Click anywhere directly on your Delenta calendar to create a new appointment or adjust an availability slot.

  • Rescheduling & Updates: Managing existing appointments is as simple as clicking on the event within your calendar view to edit or update the details with ease.
