Teams: How to Customize Your Email Templates

On Delenta, you have the ability to tailor your email templates and message content to better suit your business needs. These customizations will be reflected in all the emails you send to your clients. This guide will walk you through the steps to personalize your email templates effectively.

Accessing Email Customization settings

Go to Settings & Privacy from the top right corner drop down menu and access the email customisation section as below.

Customise your email template

You have the option to tailor the template that we send to your clients.

  • Who is it from? - You can enter your company name here.

  • Enable Footer - Located at the very end of your email. It comes after all the body content. It may be as basic as your company's address or useful details like contact information and social links

  • SMS Sender - If you have a Twilio integration in place set the sender name for your SMSs

Customize email messages

You can customize all system-generated email messages sent to your clients and coaches.

  • For - Select which set of emails you'll edit - for client or for coach.

  • Template Category - Easily access emails by simple workflow categories like Welcome & Onboarding

  • Choose Template - Choose an email to customise from the selected template category.

  • Subject - You can change the subject line of the email template.

As you customise the email messages you will notice there are a number of magic tags in the email. Magic tags are bits of code that will automatically enter the relevant data or the link into the email that you send to your client. Whilst you can edit the message content of your emails freely, the magic tags should remain intact. You can place the magic tags anywhere in the email, to insert a tag into the email, simply click on the tag from the list displayed in the Magic Tags area (See image below)

You will be able to see a preview of the changes you make to your email by sending yourself a test email via the Send to Myself button. If you would like to reset your emails to the default email template you can do so by selecting the Reset button. Remember to save your changes.

Account Name magic tag for emails. Now, within Teams, you can enhance branding by replacing the coach's name with the company name.

Enable email template - to prevent email fatigue for you can toggle to disable specific emails to client or coach. Don't forget to hit Save Settings for each template when you update these details
