Types of Availability in Delenta

This article explains how to configure and manage availability settings in Delenta, including discovery sessions and packaged sessions, to provide a seamless scheduling experience for coaches and their coachees.

Delenta offers two primary types of availability settings to help coaches effectively manage their calendars: Availability for Discovery or Chemistry Sessions and Availability for Packaged Sessions. Here’s a detailed breakdown of each type and how to configure them for a seamless coaching experience.

1. Availability for Discovery or Chemistry Sessions

Discovery or Chemistry sessions are designed to introduce potential clients to your coaching services. You can customize the session duration within your calendar settings.

Setting Up Discovery Sessions

  • Slot Sizes: You can specify durations such as 15 minutes, 30 minutes, 45 minutes, or 1 hour.

  • Optional Setup: If your coaching practice, does not offer free discovery sessions, you can leave the discovery session checkbox in the settings unchecked.

In the example below, the coach has set up 1-hour durations for Discovery sessions:

Settings View:

  • Duration: 1 hour

Calendar View: If you set a 1-hour session duration for your Discovery sessions, it translates into 1-hour availability slots on your coaching calendar.

2. Availability for Packaged Sessions

Packaged sessions are designed for clients who have purchased a coaching package. Unlike Discovery sessions, the availability for packaged sessions is dynamically tailored to the specific session durations included in the package.

  • Default 30-Minute Increments: The coach’s calendar displays availability slots in 30-minute increments by default. *Note: This doesn't reflect the same on your client's calendar.

  • Automatic Adjustment: The system automatically calculates and presents start times that match the session duration of the package purchased by the clients.

Key Settings for Packaged Sessions

1. Set Availability

Define your working hours (e.g., Tuesdays and Thursdays from 4:00 PM to 6:00 PM).

2. Set Availability Increments

Control how clients can book sessions by using the Availability Increments option:

  • Every 60 minutes: Only whole-hour start times (e.g., 4:00 PM, 5:00 PM) will appear as available.

  • Every 30 minutes: Half-hour start times (e.g., 4:00 PM, 4:30 PM, 5:00 PM) will also appear, provided they meet the session duration.

What Coaches See vs. What Coachees/Clients See

Coach View

  • Your calendar displays default 30-minute increments, representing your overall availability.

  • For example, if you set availability for 4:00 PM to 6:00 PM every Tuesday and Thursday, the calendar will show slots in default 30-minute increments.

Coachee View

  • Coachees only see start times that match the session duration of their purchased package.

  • Example:

    • If you’re available from 4:00 PM to 6:00 PM on February 4th, and the package session duration is 45 minutes:

      • With 60-minute increments: Coachees will see it 10:00 AM, 11:00 AM, and 12:00 PM as available start times.

      • With 30-minute increments: Coachees may also see additional times, such as 10:30 AM, provided these times fit the 45-minute session duration.

      • With 15-minute increments: Coachees will see 10:00 AM, 10:15 AM, and 10:30 AM as available start times.

By setting up both Discovery and Packaged Session availability, you can offer a flexible and personalized booking experience for your coachees while keeping your schedule organized. Delenta’s availability settings ensure that your coaching calendar reflects your preferences, while the coachee’s view is optimized for their needs.
