How to Restrict Last-Minute Cancellations or Reschedules for Package Sessions

To help coaches manage their time more effectively and minimize last-minute changes from clients, Delenta offers a feature that allows you to restrict cancellations or reschedules within a specified time window before a session.

This article explains how to configure this setting and outlines the experience for both coaches and clients.

Setting Up Cancellation/Reschedule Restrictions

You can apply this restriction at the package level. Once set, it will automatically apply to all sessions booked under that package.

To set this up:

  1. Go to the Packages tab in your coach dashboard.

  2. Select the package you want to edit.

  3. Go to session information and select the "Add a cancellation time limit" option.

  4. Check the box to enable the restriction.

  5. Choose whether this applies to:

    • Cancellations only

    • Both cancellations and reschedules

  6. Set the time frame for the restriction (e.g., one day before the session).

Client Experience

When a client attempts to cancel or reschedule a session within the restricted time period, they will see a message notifying them of the policy:

This message ensures that clients are aware of the policy in place and understand that the session will still be counted as completed.

How These Sessions Are Marked- Coach portal

If a client proceeds to cancel or reschedule within the restricted period, the session will be automatically marked with the status: COMPLETED - CANCEL POLICY

You can view this status under the Contacts > Select the Client> View Details> Packages tab.

With this feature, coaches have greater control over scheduling and can reduce the impact of last-minute changes. It’s easy to set-up, ensures clarity for clients, and helps maintain accountability on both sides.
