Company Shared Folder (CSF) for Teams

The CSF is a dedicated space within your Delenta account where your team can store and manage shared resources. Think of it as your company's central digital library, ensuring that critical documents, templates, and other assets are always available to the right people.

Why is the Company Shared Folder Important?

In any team or enterprise setting, effective collaboration and secure data management are paramount. The CSF solves key problems by offering:

  • Centralized Access: All company-wide files are in one accessible location, eliminating the need to search multiple drives or request files from colleagues.

  • Controlled Permissions: Granular control over who can view, download, edit, or manage files and folders prevents unauthorized access and accidental modifications.

  • Clear Ownership Transfer: Automated processes for coach profile deletion or transfer ensure that valuable company assets are never lost and ownership is seamlessly reassigned.

  • Self-Service Management: Team members can manage their own files and subfolders, fostering autonomy while maintaining overall structure.


How it Works: User Roles and Capabilities

The CSF operates on a robust role-based permission system, ensuring that each user has appropriate access and control. Here's a breakdown of the roles and their corresponding capabilities:

*Note: Managers can add/remove people on specific files/folders, but not for the CSF itself.


Key User Roles within the CSF

  • Super Admin: The Super Admin is the ultimate owner of the CSF. This role always has comprehensive control over the entire folder structure and can manage all permissions for all users. The Super Admin's ownership of the CSF cannot be changed by any other user.

  • Coach Admin, Coach Only, & Admin Only: These roles do not have access to the CSF by default. A Super Admin must explicitly share the CSF with them. When sharing, the Super Admin can assign them any role—such as Owner, Manager, Contributor, or Viewer—to define their level of access and control.

  • Team Members: Any team member who uploads or creates a new file or folder automatically becomes the Owner of that specific item. This gives them full control over the content they add.


Sharing the CSF

Sharing/granting access to CSF is a straightforward process:

  1. Navigate to the CSF: As Super Admin log in and go to the Team Portal and to the "Resources" section on the Coach Portal.

  2. Locate the CSF: The CSF is named after the Team/Account name.

  3. Initiate Sharing:

    • Click on the CSF

    • Next click on the Share icon.

  4. Add Recipients: Select the coaches you'd like to share with.

  5. Set Permissions (Roles): For each user, select the appropriate permission level (Owner, Manager, Contributor, or Viewer) from the dropdown menu. This determines what they can do with the shared item. Click on the tick icon to confirm.

  6. Confirm Share: Click "Share" to complete the process.


Sharing Files & Folders in the CSF

Before a Coach Admin, Coach Only, or Admin Only can upload/share files & folders in the CSF, the Super Admin must first grant them access to the CSF. Once they have access, the steps for sharing are simple:

  1. Locate the File/Folder: Upload/find the file or folder you want to share within the CSF.

  2. Click to Share: Hover over the item and click the "Share" icon.

  3. Add Team Members: Enter the names of the people you want to share with.

  4. Set Permissions: Select the role you want to give them (e.g., Viewer, Contributor, Manager) to set what they can do.

  5. Confirm: Click to share the item. You can also choose to notify them by email.

Pro-Tip: To save time, you can select multiple files and folders at once to move or delete them in a single action.
