Setting up SMS Reminders for Coaching Sessions using Delenta via Zapier, and Twilio

This article will guide you through setting up an automated workflow to send SMS reminders to your clients for sessions created in Delenta, by connecting Delenta and Zapier, and using Twilio to send the SMS messages.

Prerequisites

Before you begin, ensure you have the following accounts and items set up:

  • A Delenta account.

  • A Zapier account (a free account is sufficient).

  • A Twilio account.

  • A verified, SMS-enabled phone number purchased from Twilio, which will be used to send the SMS reminders.

Step-by-Step Setup

1. Create a Zap in Zapier and Connect Delenta

  1. Go to Zapier and create a new Zap. You may name this workflow "Reminder".

  2. Connect your Delenta app first.

  3. The trigger event for the Delenta app should be New Session Reminder.

Connect your Delenta account:

  1. Click to connect your Delenta account.

  2. The App ID, App Secret, and Account ID are required for the connection.

  3. Finding the App ID and App Secret: In your Delenta account, go to Settings and Privacy under View My Profile. The App ID and App Secret will be located there. If the App Secret field is empty, click the button to generate it. Copy the generated App Secret.

  4. Finding the Account ID: Go to the Settings page on your team portal, find the Account ID, and copy it.

    Enter all this information on the login page in Zapier.

  5. Click "Yes, continue to Delenta".

  6. Once the account is connected, select it in Zapier.

  7. Click Continue.

  8. Test the trigger to ensure the integration between the two applications is working.

2. Set up the Twilio SMS Action

  1. After testing the trigger, continue to the next step in the Zapier flow.

  2. Set up the Twilio SMS action. Click on SMS and then Continue.

  3. Twilio Number: This is the SMS-enabled number you purchased from Twilio.

  4. To Number: This will be your client's phone number, pulled from your Delenta app. Select Client Phone Number from the Delenta app data.

    • Note: For the SMS to be sent, all your clients must have a phone number entered on their profile page in the Delenta CRM.

  5. Text Message: Add your sample text message. You can personalize the message by adding dynamic fields from Delenta:

    • For the client's name, use the client's first name.

    • For the coach's name, use the coach's first name.

    • For the session time, use the start date and start time.

    • For the session link, use the location description.

  6. Click Continue.

How to Purchase a Twilio Number (If you haven't already)

If you still need to purchase an SMS-enabled number from Twilio, you can follow these steps:

  1. In your Twilio account, go to Messages.

  2. You can choose to try a trial number first by selecting "try it out".

  3. Click Send SMS and then Get Trial Phone Number.

  4. You will be shown a list of phone numbers to purchase; ensure the number is SMS enabled.

  5. Twilio will ask you for information to verify the number.

  6. Once you have purchased and verified your number, you can proceed with the Zapier setup.

3. Publish the Zap and Understand Reminder Timing

  1. Once you have completed all the steps and are satisfied, you can publish the Zap.

  2. The session reminders will be sent based on the default session reminders you have set up on your Delenta calendar page.

  3. In your Delenta account, go to the calendar page to set your reminder preferences (e.g., 15 minutes before the session starts).

  4. The Zapier-Twilio SMS reminders will use the same timeline you set in Delenta.

  5. If you want multiple reminders, you can add another reminder preference in your Delenta calendar settings, and the SMS will be sent based on that timeline as well.
