Before You Begin
Make sure you have configured and verified the following prerequisites before turning on the integration:
Paid Twilio Account: A fully set up, active Twilio account.
Verified Delenta Account: Logged into your Delenta coach or admin account.
SMS "From Name": Ensure you have entered a recognizable "From Name" within your SMS messaging configuration so clients know the text is from you.
Calendar Meeting Reminders: Set your preferred reminder timing (e.g., 24 hours, 1 hour, or 15 minutes prior) on your Delenta calendar settings. The SMS reminders will trigger based exactly on these calendar settings.
Step-by-Step Instructions
Follow these simple steps to connect Delenta to your Twilio account natively:
Step 1: Navigate to Integrations
Log in to your Delenta Coach Portal. On the left-side navigation menu, click on Integrations.
Step 2: Enable Twilio SMS
Scroll through your available integrations to find the Twilio SMS Session Reminders section. Click the toggle switch to turn it ON.
Step 3: Authorize Delenta in Twilio
You will be securely redirected to the Twilio login page. Enter your Twilio credentials, review the access permissions, and click to authorize the Delenta Connect application.
Step 4: Confirm Connection
Once authorized, Twilio will automatically redirect you back to Delenta. Your integration page will update to display your connected Twilio account details and a successful connection status.
How the Automated SMS Reminder System Works
Once connected, the system automatically processes reminders in the background. To maintain compliance and ensure a smooth experience for your clients, text messages are deployed based on a strict set of rules.
The Timing Rule
SMS reminders mimic your existing Delenta session reminder jobs. For example, if your calendar preferences are configured to send reminders at 24 hours, 1 hour, and 15 minutes before a meeting, the SMS reminders will deploy at those exact intervals.
The Trigger Checklist
An SMS reminder will only send if all of the following conditions are met simultaneously:
• System Status: Twilio is successfully connected, and SMS sending is actively enabled for your environment.
• Timing: A calendar-defined session reminder job is due.
• Recipient Target: The specific reminder configuration is designated for the client (it will not trigger for coach-only reminders).
• Client Status: The client profile is marked as active for that specific coach or team.
•Contact Information: The client has a valid phone number saved directly on their profile page in the Delenta CRM.
• Compliance Opt-In: The client has not opted out of communications by texting STOP to your number.
• Deduplication: The specific SMS reminder has not already been sent for that exact session, reminder slot, and phone number combo.
Helpful Tips & Notes
One-to-One Sessions Only: In this current phase, automated native SMS reminders apply exclusively to one-to-one coaching sessions.
Standardized Templates: To guarantee instant compliance and formatting across global networks, the current SMS reminder text content is standardized and not editable by users during this phase.
Multi-Channel Delivery: SMS does not replace your emails! Email reminders will continue to go out exactly as normal; the text message serves as a powerful additional notification channel.
