Managing and Creating Client Agreements in Delenta 2.0

Overview

The Delenta 2.0 Contracts Module provides a completely refreshed, secure, and intuitive workspace to draft, duplicate, track, and manage all your coaching agreements in one location. This module streamlines your administrative onboarding workflow, ensures your agreements are legally binding, and integrates directly with your customer relationship management (CRM) data to save you valuable time.

Step-by-Step Instructions

Step 1: Navigating Your Contracts Dashboard

  1. Log in to your Delenta provider account and navigate to Contracts on your left-hand sidebar menu.

  2. At the top of the workspace, you will find categorized tabs designed to help you filter your pipeline at a glance:

    • All: Displays every contract created on your account.

    • Signed: Contracts that have been fully executed.

    • Pending: Agreements sent out that are waiting on a signature.

    • Draft: Contracts currently being edited or not yet sent.

    • Templates: Your collection of standardized, reusable contract structures.

Step 2: Creating a New Contract or Template

  1. Click the blue + Create button located in the top-right corner of the Contracts dashboard.

  2. Select your preferred creation method from the dropdown menu:

    • Upload a PDF: Upload an existing file directly from your computer.

      💡 Tip: Ensure your local PDF file is named correctly before uploading. Delenta uses your raw document file name to save the contract title in the system.

      💡 Tip: Remember to finalize elements like logos or custom company branding outside the platform prior to uploading, as the PDF remains locked once uploaded

    • Create from Blank: Opens a fresh document with a standard rich-text editor workspace.

    • Using a Template: Select from your previously saved structures to instantiate a pre-formatted contract instantly.

Step 3: Customizing and Formatting Your Draft

If you choose to create a contract from blank, duplicate a template, or modify a draft:

  1. Provide a Contract Title in the top field.

  2. Draft your legal copy in the Contract Content editor box.

  3. Utilize the Magic Tags panel on the right side of the page (e.g., #COACH_NAME, #CLIENT_NAME, #CURRENT_DATE). Clicking these tags inserts dynamic variables that auto-populate with live data from your Delenta CRM system when sent, removing manual data entry.

  4. Check the Include Logo box beneath the editor if you want to apply your personal white-label branding. Delenta automatically pulls the business logo you have configured in your platform theme settings.

  5. Choose whether to Save as Draft, Save as Template, or proceed to Save & Share.

Step 4: Sharing Contracts (No Client Portal Required!)

A primary feature of Delenta 2.0 is the ability to finalize agreements during your early sales pipeline before a prospect is fully onboarded. Contacts do not need to have an active client portal account to review or sign your contract.

  1. From the contract preview page, select Save & Share.

  2. In the Share Details section, configure the following fields:

    • Send to: Type and select the name of your contact or lead from your CRM list.

    • Date: Set the target or issue date using the calendar picker.

    • From: This field defaults to your coach or organization name.

  3. Configure the Set a reminder for an unsigned contract dropdown:

    • No Reminder: No follow-up notifications will be automated.

    • Every Day: Automates a daily nudge email to the recipient.

    • Every 2 Days: Automates a nudge email every 48 hours.

  4. Click Save & Share to send the document.

Key Features

Smart Unsigned Reminders

To ensure a high-quality client experience, Delenta's automated reminder system protects your professional relationships. If you activate daily or bi-daily reminders, the system enforces a strict cap of three total reminders max. Once the third notification is sent, the automation stops completely to prevent your communications from feeling like spam.

Legally Binding Signature Audit Logs

Once an agreement is completely finalized by your recipient, its status badge on your dashboard converts to a green Signed status pill, alongside a permanent execution date stamp.

  • Every executed agreement appends a comprehensive Audit Log section at the very end of the final document text.

  • This log securely registers the signature flow, tracking exact timestamps, IP addresses, and email verification points to ensure each agreement remains fully legally binding.

What Recipients Receive

  1. Signature request: Your recipient receives an automated, white-labeled email notification reflecting your custom theme containing a prompt to review and sign their pending document.

  2. The Signing: They can click the secure link to sign the contract digitally without being forced to create or log into a portal account.

  3. The Confirmation: As soon as they sign, the coach receives a success confirmation email. Simultaneously, the signer receives a finalized confirmation email containing a direct Download here link to store a copy of the completed agreement for their own files.

Important Safety Note on Deletion

Warning: If you click the three vertical dots next to a shared contract and select Delete, the contract is completely removed from your dashboard and erased from your contact's portal/history. Because they will instantly lose access to their proof of agreement, always communicate with your contact first or ensure they have downloaded their final PDF version locally before you purge records from your system.
