With the release of Delenta 2.0, coaches can now offer a new variation of packages: Usage-Based Packages. This feature allows you to structure and sell coaching based on a set number of allocated hours instead of a fixed number of sessions.
This article guides you through creating a usage-based package and configuring overage billing for clients who need to book beyond their package limits.
What is a Usage-Based Package?
Unlike traditional packages that offer a fixed count of individual sessions (e.g., a "10-session package"), a Usage-Based Package tracks the total hours and minutes consumed by the client. This provides maximum flexibility for coaches whose session lengths naturally vary from week to week.
Step-by-Step Package Creation
Step 1: Select the Usage Package Template
Navigate to Packages on your left-hand sidebar dashboard menu.
Click Create package from scratch or choose a template.
Locate the Usage Package (Beta) card and click Select Template.
Step 2: Set Up the Package Details (Overview)
Provide a Package Title (e.g., 1-on-1 Executive Coaching (Usage-Based)).
Write a clear Description outlining how the hourly allotment works for your clients.
Add relevant Tags for internal organization.
Step 3: Configure Content Type and Duration (Sessions Tab)
This is where the key difference lies for usage-based packages:
Under Content Type, notice that Hours is utilized to track client usage rather than traditional fixed sessions.
In the Session Duration fields, define the total time allotment for the entire package. For example, enter
3Hours and30Mins.Select your preferred Meeting Location (e.g., Google Meet, Zoom, MS Teams).
Step 4: Enable Overage Billing (Optional)
If a client exhausts their initial package duration, you can permit them to continue booking additional time billed at an hourly rate.
Toggle the switch to Enable Session Overage Billing.
Set the Invoicing Method (e.g., Automatic).
Enter your Hourly Rate for any overage time used (e.g.,
200per hour).Set the Invoicing Period (e.g., Monthly) and the Invoicing Method day (e.g., First day of the month).
Select the Auto-charge Day of the month from the dropdown menu (e.g., 1st of month).
Note: Any time booked by the client exceeding the initial package duration will be tracked under overage billing and automatically invoiced according to your schedule.
Step 5: Finalize Pricing and Workflow
Click Continue to move to the Pricing tab. Note: Usage-based packages default to Paid settings. Set your fixed pricing package amount and choose single or multiple payment plans.
Click Continue through Checkout Flow, Content, and Advanced Settings to configure workflows, contracts, forms, or booking rules as you would with any traditional Delenta package.
On the Review & Share tab, verify your configurations and click Publish to make the package active.
Client Dashboard Experience
Once a client purchases or is assigned a usage-based package, their tracking dashboard adapts automatically:
Total Balance Display: In their portal, clients can visually monitor exactly how many Hours Left remain in their active balance.
Flexible Scheduling: When a client hits Schedule your next session, they can choose from predefined time lengths (e.g., 15 mins, 30 mins, 45 mins) from a dropdown menu depending on what they need for that specific appointment.
Overage Transparency: If the client has completely used their package allotment and overage billing is active, the scheduling screen displays a clear notice detailing the hourly rate for additional bookings.

What's overage billing?
A fixed package normally includes a defined amount of coaching such as:
6 sessions in total
OR 10 hours of coaching
When overage is enabled, the client is not blocked once they reach that limit. Instead, any additional usage is charged at a predefined overage rate.
Currently overage billing is only enabled for coaching hours.
How does fixed usage based packages with overage billing works?
Fixed package is purchased
Example:
Package includes 4 hours per month
Fixed monthly price $400
Client uses included sessions
The first 4 hours are covered by the package price.
Client Exceeds the Package limit
If the client books: a 5th or 6th additional hours in the same period, those sessions are considered overage.
Overage charges apply
