Overview
This article covers how to navigate and use the updated Contracts feature within a Delenta Teams environment. You will learn how the unified Contracts dashboard simplifies document management, how Team Admins can create and send agreements on behalf of other coaches, and how Assigned Coaches can view these signed agreements directly within their own portals.
Who This Is For
Team Admins: Who need to manage, create, and dispatch legal agreements or coaching contracts across the organization.
Team Coaches: Who need visibility into the contracts signed by their assigned clients without the hassle of managing the legal paperwork themselves.
What Has Changed?
In the latest version of Delenta, we have streamlined document management:
Unified Dashboard: There is no longer a separate Admin or Team portal for contracts. Everything is merged into one central navigation point.
No Client Portal Required: Contacts, leads, prospects, or invited clients can now review and legally sign contracts via a public link without needing to register for or log into a Delenta Client Portal.
Step-by-Step Instructions
1. Navigating the Unified Contracts Dashboard
Log into your Delenta account.
On the left-hand sidebar menu, click Contracts.
Here, you will see a single, centralized list of all contracts. You can filter your view using the top tabs: All, Signed, Pending, Draft, and Templates.
2. How Admins Create and Send a Contract on Behalf of a Coach
Team Admins can easily draft and execute agreements for any client in the CRM, automatically assigning the appropriate coach's signature to the document.
From the Contracts dashboard, click Templates or select an existing contract layout.
Click the actions menu (three dots) next to your chosen template and select Share (or click Create to start fresh).
Update the Contract Title and review the contract content.
Scroll down to the Share Details section:
Send to: Select the contact, lead, or prospect from your CRM.
Coach Name: Delete the default admin name and type in the Assigned/Primary Coach's Name (e.g., Julian Reeves). This ensures the document is executed under that specific coach's profile.
Note: If you would like all contracts to go under the Company Name, then you can type in the team/company name. Make sure you update the automated emails for contract signatures to ensure the email signature aligns with the signature on the contract.
Click Preview to verify the branding and ensure the coach's name appears correctly in the signature block.
Set a Reminder to remind your client to sign the contract
Click Save & Share to send the contract link directly to the client's email.
3. How Clients Review and Sign the Contract
The client receives an automated email featuring your company's white-label branding, requesting a signature.
They click the Review and Sign link provided in the email (no portal login required).
After reading the document, the client checks the box to agree to the terms, types their Full Name and Email Address, and clicks Sign.
Once completed, a green "Contract Signed" notification appears, and an automated confirmation is sent back to the Admin who initiated the workflow.
4. How Team Coaches View Signed Contracts
Once a contract is signed, it is automatically archived directly inside the client's profile, making it immediately visible to their assigned coach.
As a coach, log into your Delenta portal and navigate to the CRM.
Search for your assigned client and click on their name to open their profile.
Click on the Contracts tab within their profile window.
You will see the contract marked as Signed.
Helpful Tips
Match Emails Exactly: When clients sign a contract via the public link, they must enter the exact email address listed in your Delenta CRM to ensure the system successfully pairs the signed document to their profile.
Legally Binding Audits: Clicking View on any signed contract opens a comprehensive Contract Audit Summary. This logs timestamps, email verifications, and IP addresses, making the document legally binding.
