Seamless Client Onboarding via Packages & Programs

Onboarding new clients seamlessly is critical to a great coaching experience. By utilising Delenta’s Packages feature, you can package your sessions, automate payments, collect contracts, deliver resources, and allow clients to self-schedule—all in a single workflow.

This guide covers both the Coach Setup and the Client Signup Experience.

Part 1: Package Creation & Coach Assignment

Before sharing your link with clients, you need to build and publish the program package from your dashboard.

  1. Create the Package & Setup Pricing: Navigate to the Packages feature on your dashboard and create a new package or program. Define the number of included coaching sessions and configure the pricing or payment plan details.

  2. Configure Checkout & Add Contracts: Set up your desired checkout workflow. Decide whether clients should be directed straight to their portal upon purchase or required to book a session first. Upload and attach any Coaching Agreements or Contracts they must sign during checkout.

  3. Attach Content, Forms, & Courses: Under the Content section, attach the resources you want the client to receive instantly upon registration. This includes documents, audio files, videos, intake forms, or specific coaching courses they should follow.

  4. Assign Coaches & Publish: Assign the specific coach(es) qualified to deliver this package. Review all details for accuracy, then Publish the package. You can also opt to pin it directly to the assigned coaches' individual public profiles.

  5. Retrieve and Share Your Team Profile Link: Go to your Team Dashboard to locate and copy your master Team Profile Link. Share this link with your prospective clients or target accounts so they can browse your offerings.

Part 2: The Client Signup & Onboarding Experience

Once a client receives your Team Profile link, their onboarding journey happens dynamically in just a few steps:

Client visits your Team Profile, selects their preferred coach, and clicks on the assigned program/package.

Initiates the secure checkout sequence.

2. Details

Client fills out their contact information (Name, Email, Phone Number).

Creates the client identity in Delenta.

3. Agreement

Client reviews and signs the digital Coaching Agreement right on the screen.

Logs a legally binding signature to the client's file.

4. Payment

Client enters their card details to complete the checkout or initiate their payment plan.

Processes the payment securely and generates a payment confirmation email.

5. Access

Client is automatically redirected into their brand-new Client Portal.

Unlocks immediate access to their assigned package with it's course, form and digital content.

Part 3: Post-Onboarding (Booking the First Session)

As soon as the client lands in their portal, they can immediately schedule their first appointment without any manual intervention from your team:

  1. Self-Scheduling: From their portal dashboard, the client clicks Schedule Session, selects their active package plan, chooses their assigned coach, and reviews the available appointment times.

  2. Location Selection: They select the preferred meeting location details (e.g., integrated Zoom, Google Meet, or physical location) configured by the coach.

  3. Confirmation: Once they pick a time and confirm, the system automatically triggers a confirmation email to the client's inbox. The appointment will instantly map to the Sessions tab and the main dashboard for both the coach and the client.

💡 Pro-Tip: Make sure your assigned team coaches have updated their package availability calendars in Delenta before you publish the package, ensuring clients see accurate booking times immediately upon checkout.
