Navigating the Team CRM

The Delenta-i Team CRM is the ultimate organizational command center for multi-coach organizations and enterprise accounts. As an administrator, this workspace provides complete, high-level visibility over every client, active lead, incoming prospect, cohort group, and corporate account associated with your company.

1. Searching, Filtering, and Data Management

Keep your growing database clean and organized using robust filtering tools and native data migration templates.

Filtering and Searching

  • Apply Filters: From the main contact list, use the dropdown filters to sort your roster instantly by assigned coach, client company, active package, or contact type.

  • Track Enrollment Growth: Filter records by onboarding date ranges, such as clients onboarded within the last three months, the last single month, or across a custom date range.

  • Quick Search: Use the search bar at the top of the contact directory to instantly locate a specific user by name.

Importing and Exporting Data

  • Bulk Import Clients: Click Import, download the provided Excel template, map your client data exactly to the requested format, and upload the file to instantly populate your CRM database.

  • Export Data: Click the Export utility to download comprehensive data sheets for your contacts, coaching groups, or corporate accounts with a single click.

2. Executing Bulk Actions and Quick Actions

Save administrative time by executing mass communication updates or triggering individual client updates directly from the main directory screen.

Running Mass Bulk Actions

  1. Select the check-boxes next to multiple client accounts simultaneously from the main grid view.

  2. Open the Bulk Actions menu to execute any of the following parameters:

    • Send Session Reminders: Prompt selected users to schedule or attend their sessions.

    • Archive Profiles: Hide past accounts from your active dashboard layout.

    • Mailing List Sync: Seamlessly pull users into a target marketing segment.

    • Delete Records: Permanently remove selected profiles from the system.

Running Individual Quick Actions

  • Profile Drawer Preview: Click into an individual account row for an instant slide-out preview panel where you can directly type a message, schedule an individual appointment, add an internal note, or click through to see full profile details.

  • Quick-Action Icons: Hover over a client entry on the main list to access rapid-action shortcut buttons to:

    • Quick Note/Task: Add a quick note or share a distinct client task.

    • Schedule a future session.

    • Send Session Join Links: Instantly re-send a direct meeting access link if a client has lost theirs.

    • Outstanding Session Reminders: Trigger automated booking reminders for outstanding sessions.

    • Add to Mailing List: Add users directly to your external MailerLite or MailChimp mailing lists.

    • Delete the single profile entirely from your platform workspace.

3. Coach Views and Client Assignments

Delenta allows platform administrators to act as both overarching business managers and independent practitioners.

  • The Activity Center: If you coach clients yourself, your own upcoming live session links will display directly in your primary Activity Center layout, showing the client's corporate account details and identifying you as the primary coach.

  • Delegating Assignments (Admin Only): Click into any individual client record as an administrator to change internal structures. Use the dropdown tools to manually assign or update their designated Primary Coach as well as any alternative Assigned Coaches from your staff roster.

4. Notes, Tasks, and Goals Management

Step into individual client records to assist your staff, track user momentum, and maintain team alignment.

Managing Client Session Notes

  1. Open a client's full profile and click the Notes tab.

  2. Click Add Note to write your documentation.

  3. Determine visibility settings: choose whether to share the note with the client or keep it private.

  4. Map the entry directly to a specific coaching package.

  5. On-Behalf Privileges: As an admin, you can write and save notes on behalf of the assigned coach and choose whether to toggle visibility to share the documentation with the wider team.

Tracking Progress via Tasks and Goals

  1. Navigate to the Tasks and Goals tab within the client file.

  2. Review the status of active action items to see exactly how they are progressing through their benchmarks.

  3. Click Create Goal or Create Task to build out new milestones, action plans, or forms on behalf of the assigned coach.

  4. Map the task or goal directly to a specific coaching session or a parent package framework.

5. Monitoring Services, Courses, and Resources

Oversee exact fulfillment data, manage course assignments, and store critical digital materials inside individual client accounts.

Managing Package Services

  • Audit Fulfillments: Under the Services tab, track every package assigned to the client, see who booked each call, check live appointment statuses, and review total vs. outstanding session balances.

  • Intervention Controls: Use the management utilities to mark a program as complete, send a direct scheduling link so the client can book their next slot, delete the package, or edit the session structure to manually add more appointments to their balance.

Tracking and Adding Courses

  • Progress Auditing: Open the Courses tab to check a client's current completion percentage metrics across your digital programs.

  • Data Cleanup: If a duplicate course was accidentally assigned, click the delete utility to remove it instantly.

  • Enroll in Programs: Click Add Course, select the digital curriculum from your library, and apply a firm completion due date.

Uploading Shared Resources

  • Navigate to the Resources section within the client record to securely upload worksheets, reference files, or digital reference materials directly to that specific client’s portal view.

6. Internal Activities, Contracts, and Submissions

The final tabs of the individual client record handle operational accountability, legal document signatures, and data intake results.

Managing Internal Activities

  1. Go to the Activities section to create internal checklists.

  2. Build a private to-do item for yourself, or create specific activities, to-dos, and reminders for your staff coaches regarding that specific client.

  3. Set a firm due date and choose whether to route the notification reminder to yourself or the assigned coach.

Auditing Legal Contracts

  • Open the Contracts tab to track the electronic signature status of any digital agreements or terms shared with the client. From here, you can instantly view or download the fully executed files.

Reviewing Form and Quiz Submissions

  • Go to the Form Submissions tab to audit comprehensive responses, scores, and entries from any forms or quizzes the client has submitted through their portal.
