Overview
When managing a growing coaching business, having a centralized, structured layout of your client data is key to maintaining operational momentum and protecting client history. Delenta-i offers two distinct CRM experiences tailored to your organizational hierarchy: the Team CRM (for overarching business operations and enterprise tracking) and the Individual CRM (for day-to-day client interaction and coaching records).
This overview guide will help you understand the core differences between these two data-driven directories, how they balance administrative power with focused coaching execution, and how to navigate between them smoothly.
Who this is for
Multi-Coach Organisations & Enterprise Admins: To understand how to manage global contact migrations, execute mass database cleanups, and assign or monitor clients across your staff.
Solo / Sub-Coaches: To master your direct practitioner workspace, track session notes, manage client milestones, and view your immediate live calling shortcuts.
Understanding the Two CRMs
To ensure data integrity and clean business tracking, Delenta completely separates enterprise-level account administration from private client coaching execution.
Think of the Team CRM as your company’s central data ledger. It is explicitly engineered for platform owners and administrative teams who oversee multiple coaches, cohorts, and business accounts.
What it does: It provides a comprehensive macro-level directory of every contact, lead, active group, and corporate sub-account within your company.
Key capabilities: From here, admins can filter the master database by assigned coach, company, or package; run bulk actions (like archiving, deleting, or syncing lists to Chimp/Lite marketing tools); import bulk user bases via Excel templates; and directly modify client records—such as assigning primary or secondary staff coaches—on the fly.
The Individual CRM is a distraction-free, highly practical workspace for coaches. Whether you are a solo operator running your own firm or a staff practitioner employed by a larger group, this is where your transformational client management takes place.
What it does: It filters out company-wide noise to focus strictly on your specific, assigned coachees.
Key capabilities: From here, you access your primary Activity Center containing instant video launch links, log private or client-facing session notes, build multi-step goal pathways, allocate tasks, upload workspace resources, and view standalone contract or form submission statuses.
Helpful Tips
Isolated Data for Privacy: To ensure strict confidentiality and HIPAA alignment, staff coaches never see the Team CRM database or other practitioners' records. They are only permitted to interact with their own assigned clients inside their Individual CRM workspace.
Administrative Delegation: The Team CRM allows admins to construct internal accountability milestones. In individual client files, admins can create to-do items and deadlines directly for their coaches, keeping the entire staff perfectly coordinated.
