Before You Begin
⚠️ Important: To get an AI Summary, you must record your meeting and enable live transcription within your video conferencing tool. Because privacy is paramount in coaching, always remember to secure explicit consent from your client before hitting the record button.
Step-by-Step Instructions
Step 1: Launch and Configure Your Session
Head to your Delenta dashboard and navigate to My Sessions.
Find your upcoming session under the Upcoming tab and click Join.
A reminder prompt will appear: “Get an AI Summary of this Meeting.” Review the reminder to ensure you intend to record and transcribe, then click Proceed to Call.
Step 2: Record and Transcribe in Your Meeting Tool
The AI Note Taker is compatible with major video conferencing integrations like Google Meet, Zoom, and MS Teams.
Once inside your meeting, locate your platform's menu or control bar.
Turn on Record Meeting.
Turn on Live Transcription (or closed captioning).
Conduct your coaching session as normal. When the meeting concludes, end the recording and exit the call.
Step 3: Let the AI Generate Your Notes
Once the meeting ends, the session status updates to the Completed tab.
Behind the scenes, Delenta's AI engine automatically reads and analyzes the generated meeting transcript.
Give it a few moments! Processing time varies slightly depending on the length of your session.
Step 4: Review Your AI Meeting Summary & Smart Insights
Click on the Notes tab in your My Sessions menu.
Locate your completed session and click View AI Notes.
Your comprehensive breakdown will load, revealing two core sections:
AI Meeting Summary: Includes a high-level Session Highlight, a list of Risks Identified, Open Questions, and clear Action Items.
Smart Insights: Tracks overall engagement metrics, ICAF Scores (including Trust and Safety, Active Listening, and Evoking Awareness), and a Speaker Talk Ratio showing the exact breakdown of how much you spoke versus your client.
Step 5: View Auto-Saved Notes in the CRM
You don't need to manually copy and paste these breakthroughs.
Go to your CRM on the left sidebar and select your client's profile.
Click on the Notes tab.
You will find the summary automatically attached to their file, clearly marked with a Generated from Transcript tag.
Step 6: Push Action Items Straight to Tasks & Goals
Return to the View AI Notes screen for your session.
Under the AI Meeting Summary, look at the extracted Action Items.
Click the Add Task button next to any action item.
The system will seamlessly push that item directly into your client's Tasks/Goals tab, allowing you to instantly begin coaching conversations and track accountability on those specific milestones.
Step 6: Access All Your Transcripts in One Secure Place
Delenta also stores all session transcripts on your resources page in a folder called Session Transcripts. This means you don't have to go searching for past transcripts on your video conferencing tool - everything is stored right inside Delenta for you with quick, easy access whenever you need it.

Review the Transcript Anytime: If you ever need to verify a specific quote, simply click the View Transcript button at the top right of the AI Summary page.
Troubleshooting & FAQs
Why didn't my completed session generate an AI Note?
The AI engine relies strictly on text data. If you forgot to turn on Live Transcription or Record during your Google Meet, Zoom, or MS Teams session, the AI won't have a transcript file to read. Ensure both settings are active on your next call.
Can I edit the tasks after adding them from the AI Summary?
Yes! Once you click Add Task, it populates as a standard task within the client's profile. You can jump into the Tasks/Goals area to adjust due dates, add descriptions, or leave comments.
