The Insights Overview Report serves as your centralized operational dashboard in Delenta, designed to give you a clear, high-level snapshot of your entire coaching business at a single glance. Instead of wasting hours updating manual spreadsheets, this dashboard automatically tracks your platform's volume, engagement patterns, and overall health in real-time.
Step-by-Step Instructions
Step 1: Navigating to Your Performance Dashboard
Log into your Delenta portal.
From the main dashboard screen, look at your top navigation selectors for Date Range and Account to filter the metrics for a specific time window or client account, as shown below:
Step 2: Reading the Top-Row Summary Cards
The top row of cards gives you a quick snapshot of the sheer volume of your coaching operations:
Total Participants: This card shows the total count of unique, individual people who have been assigned to or have purchased a coaching program. This aggregates everyone across one-to-one coaching, group coaching, and corporate engagements.
Active Participants: This indicates how many of those total participants have had recent, attended session activity—meaning they have completed at least one session within their assigned package or engagement.
Running Programs: The total count of coaching programs that are currently active and assigned to a client, with at least one session successfully scheduled within your selected reporting period.
Total Sessions Delivered: The combined number of completed, historical sessions across every single one of your selected programs.
Step 3: Tracking Progress, Engagement, and Risk
The second row of cards moves from raw volume to engagement quality, helping you pinpoint exactly where your attention is needed:
Completion Rate: This represents the average completion percentage across all active packages. For example, if a client's package contains 2 total sessions and they have finished 1, their individual completion sits at 50%. This card averages those individual metrics across your entire platform.
Attendance Rate: Calculated by dividing your total Attended Sessions by the Total Sessions, multiplied by 100. You can easily manage these statuses directly from your completed sessions page.
At-Risk Clients: This vital warning card flags participants with low attendance or low engagement. Specifically, it counts clients who have logged more than 2 consecutive session misses or absences.
Unscheduled Sessions (Yet to be scheduled): This card tallies up the remaining coaching sessions that have been purchased or allotted inside a program but have not yet been placed on the calendar.
Step 4: Analyzing Visual Graph Trends
Scroll down slightly on the page to view your data plotted over time:
Participation Over Time (Graph): A clean bar graph tracking your unique, active participant counts over the selected period, showing you exactly when your coaching network is growing.
Program Status (Graph): A visual breakdown that categorizes your total active running programs so you can see your fulfillment distribution at a glance.
Understanding the Client Risk Report Table
To help you dive deeper into the data shown on your At-Risk Clients card, Delenta generates a detailed Client Risk Report table. This matrix breaks down exactly who is slipping behind and why:
Column Header | What It Tracks / How It Is Derived |
Eligible vs. Total Sessions | Displays the total number of sessions allotted in the assigned package compared to how many are eligible to be booked. |
Sessions Completed | The raw count of sessions successfully marked as completed by the coach. |
Attendance Rate | Calculated as: Attendance Rate=(Attended Sessions/Total Sessions)×100 |
Client Status | Automatically flags clients as either On Track or Off Track based on attendance patterns. |
Last Session Completed Date | The calendar timestamp of the client's last attended appointment. |
Track Status Breakdown
🔴 Off Track: Triggered if a client logs more than 3 consecutive absences OR if their overall attendance rate falls below 75%.
🟢 On Track: Triggered when a client has zero missed sessions and maintains an overall attendance rate greater than 75%.
Helpful Tips
Keep Attendance Updated: Because metrics like Attendance Rate, At-Risk Clients, and Track Status rely directly on your logs, make it a habit to mark sessions as Attended or Absent on your completed sessions page right after a meeting ends.
Filter for Corporate Reviews: If you manage a multi-coach organization, use the Account dropdown filter at the top of the screen to quickly isolate metrics for a single corporate client before your quarterly review meetings.
