The Services tab inside a client's CRM profile is your control center for tracking and fulfilling their active programs. From this section, you can manually grant access to packages, track course progress, schedule appointments, and manage subscription cycles.
1. Assigning a Package
When you manually grant a package to a client, it is automatically treated as a free or prepaid offer, saving them from walking through a public checkout screen.
Open the client’s profile in your CRM and navigate to the Services tab.
Click Add Package.
Select the package from your library directory.
Set the Purchase Date: Choose the date the transaction occurred.
Assign Price: Enter the financial worth of the package.
📈 Note: This does not actual charge the client's credit card. It is strictly used as an internal metric to track your revenue indicators within the platform for sales made outside of Delenta.
You can check follow session plan sequence if you would like them to adhere to the session plans you've set or make it flexible and book the session in any sequence you'd like. Next Click Save.
2. Managing Package Sessions
Once a package is active, you can adjust balances, schedule calls, or restrict booking permissions.
Booking Calls: Click Schedule Now to book an appointment on the client’s behalf. Alternatively, the client can log into their portal to pick a time slot.
Share Scheduling Links: Click the package menu icon to copy the direct scheduling link. Send this to your client if they prefer to book appointments without logging into their portal view.
Add or Subtract Sessions: Select Edit Package to manually add extra sessions or subtract outstanding slots from their remaining balance.
Lock Bookings: Click Mark as Complete. This formally closes out the program and prevents the client from booking any further sessions against it.
Delete a Package: Select delete from the menu.
⚠️ Important Guardrail: You can only delete a package if it has zero booked sessions. If sessions are already booked, you must manually delete those calendar appointments first before the platform will allow you to delete the parent package.
3. How Package with Subscription Settings Work
If you assign a subscription-based package, the dashboard dynamically mirrors the exact parameters of the current renewal cycle.
Cycle Visibility: The CRM only displays the session balance available for the active billing period.
Example: If a client is on a 1-year contract that grants 2 sessions per month, the dashboard will only display a balance of 2 sessions at a time.
Automatic Renewal: Once the monthly cycle rolls over, the system automatically refreshes the balance back to 2 slots, preventing clients from booking too far ahead of their paid cycles.
4. Assigning & Tracking Courses
Keep an eye on digital learning tracks to ensure your clients are engaging with your supplementary materials.
Enroll a Student: Under the Course section, click Add Courses, select the course from your published list, and add a purchase date as well as cost.
Track Progress: Review the course module row to see exactly how far the client has progressed through the materials via a real-time completion percentage tracker.
Remove Access: Click the trash icon next to any active course entry to revoke their access or clear accidental duplicate enrollments.
