How to Onboard Contacts as Prospects on package purchase in Delenta

Overview

When offering coaching packages to clients you may want to capture these new contacts in your CRM without forcing them to register or log into a full client portal immediately.

Delenta's Onboard as Prospect on package purchase feature allows you to flag specific packages so that any new purchaser is saved in your CRM as a Prospect rather than a full Client, streamlining checkout for new leads.

How "Onboard as Prospect" Works

  • Broad Compatibility: The "Onboard as Prospect" toggle is available across Free, Prepaid, and Paid package creation flows.

  • Net-New Contacts: When enabled, any net-new contact claiming or purchasing the package will be assigned Prospect status in your CRM. They bypass full client portal registration.

  • Existing Clients Stay Clients: If someone who is already a registered Client purchases a Prospect-flagged package, their status remains Client. The system will never downgrade an existing Client to a Prospect.

  • Automatic Prospect-to-Client Conversion: When a Prospect later purchases a standard (non-flagged) package, Delenta automatically converts them to Client status- no manual CRM editing required.

  • Future Sign-Ups Only: Toggling "Onboard as Prospect" on an already-published package only affects purchases made from that point forward. Past purchasers will not be retroactively reclassified.

Step-by-Step Instructions

Step 1: Enable 'Prospect' status During Package Creation

  1. Go to Packages > + Create > Package.

  2. Complete your package setup across the Overview, Sessions, Pricing, Checkout Flow, and Content tabs.

  3. Navigate to the Review & Share step.

  4. Locate the Onboard as Prospect toggle switch:

    • Toggle ON: New purchasers will be saved in your CRM as Prospects without being redirected to create a client portal login.

    • Toggle OFF (Default): Purchasers are onboarded as full Clients and prompted to complete portal registration.

  5. Click Publish.

Step 2: View and Manage Prospects in Your CRM

  1. Go to CRM on the left-hand navigation menu.

  2. Search for the contact name.

  3. Under the Status column, you will see the contact flagged as a Prospect.

  4. Converting or Inviting: If you wish to grant a Prospect portal access manually at a later date, click the three dots (...) action menu next to their CRM entry and select Invite.
