Overview
As a Team Admin, Coach Admin or Super Admin, Delenta provides you with centralized hub management capabilities. From a single panel, you can invite new members, configure complex system roles, fine-tune individual permissions, control seat usage, and manage your external-facing team profile page.
1. Navigating Team Management
To access the team controls, locate the left sidebar navigation layout and select Team Management. The workspace divides into two main operational views:
Coach Management: For operational tasks like adding, removing, filtering, and checking active configurations of your coaches.
Roles & Permissions: For creating security and feature-access profiles to apply across the company.
2. Coach Management & Inviting Team Members
How to Invite a New Coach or Staff Member
Navigate to Team Management > Coach Management.
Click the + Invite Team Member button located at the top right of the dashboard.
Fill out the core info in the invitation form:
First & Last Name
Email Address
Choose User Type: Select the foundation layout category for the seat type (Coach, Admin Coach, Admin, or Report Viewer [Read Only]).
Choose Roles: Select a preconfigured custom permission profile tailored to their business objectives.
Message: Write an optional customizable onboarding welcome string.
Click Invite Now.
Sorting, Searching, and Filtering Your Team
Global Search: Use the search bar at the top of the roster to locate individual team members instantly by name or email.
Filter by Role: Use the dropdown filter component to instantly narrow down visible metrics to show only Admin Coaches, Coaches, or Super Admins.
Managing team users (The Difference Between Deactivating and Deleting)
Clicking the action menu (three dots) next to any active team member presents you with administrative controls:
Assign Admin: Upgrades a standard coach's operational scope to give them full access to company dashboards and settings blocks.
Delete: Removes the record permanently and releases that coach subscription seat allowance balance back into your license pool. This allows you to immediately repurpose the system seat and invite a new team member.
Deactivate: Blocks access to the individual's user portal immediately, but locks and preserves the license seat configuration context. The total coach seat count remains unchanged, ensuring the historical ledger context of that coach remains in the organization while preventing them from signing back in.
3. Configuration of Roles & Permissions
Delenta supports fine-grained operational control so your organization does not suffer from data visibility chaos or configuration clutter.
Understanding Default vs. Custom Roles
System-Defined Default Roles: Default configurations (Admin, Viewer, Coach) cannot be modified or updated by admins. Their permissions checkboxes remain safely greyed out to prevent accidental security breaks.
Custom Roles: Built by you to accommodate matrix corporate hierarchies (e.g., matching a head coach vs. a junior advisor).
How to Build a Custom Role Matrix
Go to Team Management > Roles & Permissions.
Click the + Create Role button.
Provide a clear Role Name (e.g., Senior Executive Coach).
Use the main list to check or uncheck master feature blocks (Manage Packages, Create Courses, View Reports, Access Shared Resources).
For granular configuration control, scroll to the bottom and open Advanced Permission Settings.
This activates a detailed Role Builder workspace where you can filter down access by module rules (e.g., specifying if a user can View Packages but cannot Delete Packages, or allowing them to Manage Course Content without package alteration access).
Click Save Changes.
How to Assign a Role to an Existing Coach
Return to the Coach Management list view.
Click directly on the profile card of the team member you want to update.
Click the Edit Profile button.
Locate the Role Management block panel on the right layout edge.
Check the box next to your new custom role to assign its permissions directly to that specific user. This will automatically assign the role to the user.
Design Note on Role Filtering Visibility: If a role is fundamentally incompatible with a base user type (for example, assigning an Admin role to a restricted Standard Coach profile), it will not even appear in their selector panel, keeping data entry clean and mistake-proof.
4. Designing Your Public Team Profile Page
Admins can customize how the unified corporate coaching presence presents itself to incoming corporate prospects.
To configure the landing page directory layout:
Navigate to the top right corner profile dropdown menu and select Settings.
Select Team Preferences from the internal navigation tree.
Configure your core platform assets:
Team Account Details: View, Edit or verify your pre-populated Account Name and Account ID.
Teams Page Settings: Customize the public directory's appearance by adjusting your Banner Title, Background Images, Branding Theme Colors, and corporate Introduction Description.
Search & Filter Visibility: Use the toggle controls to decide if external users can search your directory roster via Specialty, Timezone, Language, or Areas of Expertise.
Team Alignment: Adjust card alignments (Left, Center, Right) or toggle the Disable Client Chat setting.
Click Save Settings to push the updates live to your platform space directory.
