Before you begin
Make sure you have a paid Zoom plan (Pro, Business, or Enterprise), as automated cloud recording and transcriptions require a paid Zoom subscription.
If your Zoom account is managed by an organization or company admin, you may need them to unlock or adjust these settings for you.
Step-by-Step Instructions
Step 1: Sign In to the Zoom Web Portal
Open your web browser, navigate to Zoom.us, and log in with your credentials.
If you are an account administrator looking to change this for your entire team, go to Account Management > Account Settings on the left menu.
Step 2: Enable Automated Captions (In-Meeting)
Click on the Meeting tab at the top of your Settings page.
Scroll down or select the In Meeting (Advanced) section from the sub-menu.
Locate Automated captions and toggle the switch to ON (blue). This allows Zoom to capture spoken words instantly in real time.
Step 3: Enable Audio Transcription for Cloud Recordings
Since the Delenta AI Note Taker relies on the post-session text file to generate your coaching summaries, you must ensure cloud recording generates a written transcript.
While still on the Settings page, click on the Recording & Transcripts tab at the top.
Locate the Cloud recording section and ensure it is toggled ON.
Under the advanced cloud recording settings, check the box next to Create audio transcript.
Step 4: Turn on Recording During Your Meeting
Launch your scheduled Zoom coaching session as the host.
Click Record and choose Record to the Cloud (cloud recording is required for Zoom's transcription feature).
After the meeting ends, Zoom processes the recording.
Once processing is complete, to check that your session has been recorded with transcripts:
Sign in to the Zoom web portal.
Go to Recordings > Cloud Recordings.
Open the meeting recording.
You'll see: Video recording, Audio transcript and downloadable VTT Transcript file.
Helpful Tips
Speak Clearly: To help both Zoom and your Delenta AI Note Taker capture the most accurate transcripts, try to keep background noise to a minimum and pause briefly between speakers.
Verify Language Settings: If you or your client are speaking a language other than English, make sure to change the speaking language setting in your Zoom meeting toolbar caret (^) icon so Zoom doesn't attempt to transcribe it using English phonetics.
Troubleshooting & FAQs
Q: The transcription option is grayed out in my Zoom dashboard. What should I do? A: This usually means the setting has been locked at the corporate or group account level. If you are part of a larger coaching company, reach out to your Zoom account administrator to enable it for you.
Q: Does Zoom transcription work with local recordings? A: No. Zoom's native audio transcription files are only generated when you choose to record your meetings to the Cloud. Make sure you select "Record to the Cloud" when starting your session.
Q: I don't see the Transcript Option on my Zoom session ? A: The Meeting host or Zoom administrator may need to enable it. Sign into the Zoom web portal. Go To Settings > Recording, under Cloud Recording enable - Create Audio Transcripts.
