As a team admin, you have the ability to create tasks, notes and coaching engagements for coaching clients on behalf of their coaches. This can help you to manage the coaching process and support your coach's work.
Here are the steps to create tasks, notes and coaching engagements for your coach's clients
Creating and sharing coach notes to client and coach
From the Admin's portal, click on CRM.
Select the client's record you want the notes to be created on.
Under the Notes tab.
Click +Add Note or Add Your First Note to create your note.
You can choose to share it with the client & all assigned coaches or keep it private.
Click on Save to save the note.
Note: All saved notes will be saved with the name of the person who created them.
Note: Any client responses on shared notes will be visible to all assigned coaches and the Admin.
Creating tasks for coaching clients
Similar to coaching notes, you can help your coaches set tasks and goals for their clients directly via the Admin's portal. Follow the steps below to create tasks and goals for clients:
From the Admin's portal, click on CRM.
Select the client's record you want the tasks/goals to be created on.
Click on the Tasks/Goals tab.
Click on Add a New Task
Create your task or goal by selecting the type (task or goal).
Add a title and a description to the task.
Provide a due date and points if required.
If it's a goal, you have the choice of adding an action plan to the goal with due dates for each action.
As an admin, you also have the ability to update the status of the task/goal on behalf of the coach/client.
Note: Each task will clearly display the name of the creator of the task for tracking purposes.
Creating coaching engagements for coaching clients:
Admins can also create coaching engagements for coaching clients on behalf of their coaches. See more details about coaching engagements here.
STEP 1:
From the Admin's portal, click on CRM and select the client's record you want the coaching engagement to be created on.
STEP 2: Go to Packages tab and click on +Add Engagement
STEP 3: Fill in the Engagement details (see image below) and click Save.
STEP 4:
Your engagement will appear on the packages tab on all assigned coaches and your client will now be able to start requesting sessions for the coaching engagement.
Creating contracts for coaching clients:
Admins can create contracts for coaching clients on behalf of their assigned coaches.
Here is how you do it.
STEP 1:
From the Admin's portal, click on CRM and select the client's record you want the contract to be created on.
STEP 2:
Go to Contracts tab and click on Create New Contract or create from Templates.
STEP 3:
Add your contract to the contract editor or amend an existing template as required:
STEP 4: Follow the steps Create Contract, Customise Template and Sign Contract to complete contract creation.
STEP 5: On the last step of Sign Contract make sure you upload a signature if required or simply type your name and date.
STEP 6: At this stage, you have the option to save the contract as a template to reuse.
For this click on Save As Template link on the 3rd Step- Sign Contract.
STEP 7:
You can now click on Save to save the contract in DRAFT form or Save and Share to share the contract with client for signing.
STEP 8: Delenta will send an automated email to the client to inform them that you are waiting for their signature on a contract, and once the client has submitted the signed contract you will receive a notification from the system .
