Keeping track of individual client financials is critical for running a smooth coaching business. The Payment History tab, located inside every client’s CRM profile, acts as your dedicated financial ledger for that specific user.
From this single dashboard, you can audit all past purchases, check outstanding balances, manage active subscription cycles, and download and share invoices without needing to navigate to your earnings page.
Step 1: Auditing Purchases & Outstanding Balances
Get an instant snapshot of a client's financial standing and purchase history.
Navigate to the Contacts section of your CRM and open the specific client’s profile.
Click on the Payment History tab.
Review the Ledger: Here, you will see a complete list of every package or course purchased by the client.
Check Statuses: Instantly identify which transactions are marked as Paid and which invoices are currently Due. The system will clearly display any outstanding balances owed by the client.
Step 2: Managing Active Payment Plans
If your client is enrolled in a recurring subscription or a multi-part payment plan, you can control their billing cycle directly from this tab.
Locate the active package or subscription within their payment history list.
Click the down arrow icon to view payment statuses.
Pause Payment: Select this option if you need to temporarily freeze their billing cycle (e.g., if the client is taking a leave of absence).
Cancel Payment: Select this option to permanently stop future billing for that specific package or subscription.
Step 3: Viewing, Downloading, and Sharing Invoices
You can easily pull up official billing documentation for your own records or to send directly to your client for accounting purposes.
Next to any transaction on the payment history ledger, click to View Invoice.
Download: Click the view invoice button to download and save a local PDF copy of the invoice to your computer.
Share with Client: You can then send the PDF invoice directly to the client's registered email address or the client can view and download it on their client portal, ensuring they are informed of their successful payments or any outstanding balances.
Client View & Management: Client's can view this under purchases in the Client Portal.
a. They can view package details for the purchased package
c. View their invoice, update payment details, ask to pause their payments or update a subscription plan from the portal directly.
